Terms & Conditions

These Terms and Conditions ("Terms") govern access to and use of the PatrolDocs platform, including the PatrolDocs mobile application, Admin Portal, and related services (collectively, the "Service"), provided by QuietLeverage LLC, doing business as PatrolDocs ("PatrolDocs," "we," "us"), a Nevada limited liability company.

The Service is offered to law enforcement agencies and their authorized personnel. This is a business-to-government/business-to-business agreement, not a consumer service.

1. Who this agreement is between

These Terms and Conditions ("Terms") govern access to and use of the PatrolDocs platform, including the PatrolDocs mobile application, Admin Portal, and related services (collectively, the "Service"), provided by QuietLeverage LLC, doing business as PatrolDocs ("PatrolDocs," "we," "us"), a Nevada limited liability company located at 2746 Gordon Avenue, Minden, NV 89423.

The Service is offered to law enforcement agencies and their authorized personnel ("Agency," "Customer," "you"). This is a business-to-government/business-to-business agreement, not a consumer service.

2. What the Service is

PatrolDocs allows an Agency to upload, manage, and maintain a library of documents, statutory notices, and community resource materials, and allows authorized Agency personnel ("Officers") to select and deliver those materials to members of the public digitally via QR code, SMS, or email. A printed packet remains available as a fallback for recipients without reliable connectivity, a functioning device, or a preference for physical materials.

The Service is a document-delivery and document-management tool. It is not a records-management system, case-management system, or evidence system, and is not represented as such.

3. Account access and Officer conduct

  • Access is provisioned per Agency, tied to individual Officer accounts. Credentials may not be shared.
  • Officers are responsible for the accuracy of information they enter (for example, which documents were delivered and any optional case or kit number) at the time of delivery.
  • The Agency is responsible for deactivating Officer accounts promptly upon separation, and PatrolDocs provides tools to do so directly in the Admin Portal.
  • Use of the Service to deliver anything other than agency-approved documents, or for any purpose outside legitimate law enforcement duties, is prohibited.

4. What PatrolDocs does and does not store

PatrolDocs does not collect or store victim or witness names, incident narratives, case notes, defendant names, or evidence, by design — there is no database field for any of these. An Agency may optionally configure an Officer to attach a case or kit reference number to a delivery; that is a short reference identifier under the Agency's own control.

PatrolDocs does not store the underlying report, narrative, evidence, or investigative record associated with that identifier, and the identifier itself can be suppressed entirely at the Agency's choice. Full detail on what data is collected, how it is masked, and how long it is retained is set out in the Privacy Policy, which is incorporated into these Terms by reference.

5. Agency responsibilities

  • The Agency is responsible for the accuracy and legal sufficiency of the documents it uploads to its library. PatrolDocs delivers what the Agency provides; it does not draft, review, or certify the legal content of any document.
  • The Agency is responsible for configuring its own retention period (within the platform's supported 1–7 year range) in accordance with its own records-retention obligations.
  • The Agency is responsible for its own internal policy on which personnel receive records_supervisor/agency_admin access, given the agency-wide visibility those roles carry.

6. Service availability

PatrolDocs is provided on an "as available" basis. We work to keep the Service operational and to deliver documents promptly, but do not guarantee uninterrupted availability.

7. Limitation of liability

Except as set out below, each party's total liability arising out of or related to this agreement, whether in contract, tort, or otherwise, will not exceed the total fees paid by the Agency to PatrolDocs in the twelve (12) months preceding the event giving rise to the claim.

Neither party will be liable for indirect, incidental, consequential, special, or punitive damages, or for lost profits or lost data, even if advised of the possibility of such damages.

The above limitations do not apply to: (a) either party's breach of its confidentiality obligations; (b) PatrolDocs' indemnification obligations under Section 8 below; (c) either party's gross negligence or willful misconduct; or (d) PatrolDocs' obligations with respect to a security incident involving unauthorized access to Agency or recipient data, as described in the Security Exhibit and DPA.

8. Indemnification

PatrolDocs will defend the Agency against any third-party claim alleging that the Service, as provided by PatrolDocs and used in accordance with this agreement, infringes that third party's United States patent, copyright, or trademark, and will indemnify the Agency against damages and costs finally awarded against the Agency as a result, provided the Agency promptly notifies PatrolDocs of the claim in writing and gives PatrolDocs sole control of the defense and settlement.

This obligation does not apply to any claim arising from: (a) the Agency's modification of the Service; (b) combination of the Service with any product, service, or data not provided by PatrolDocs; or (c) use of the Service other than as permitted under this agreement.

If the Service becomes, or PatrolDocs reasonably believes it may become, the subject of such a claim, PatrolDocs may, at its option and expense: (a) procure for the Agency the right to continue using the Service; (b) modify or replace the Service to make it non-infringing while providing substantially equivalent functionality; or (c) terminate this agreement and refund any prepaid, unused fees for the remainder of the then-current term.

9. Term, suspension, and termination

  • These Terms remain in effect for the duration of the Agency's subscription.
  • PatrolDocs may suspend or terminate access for material breach, non-payment, or misuse of the Service.
  • Upon termination, Agency data is retained per the Agency's configured retention period and then purged on schedule, consistent with the Privacy Policy — termination does not immediately delete records that are still within their retention window.
  • Upon termination or cancellation, the Agency's administrative and Officer accounts are deactivated, ending the Agency's ability to create new deliveries or access the Admin Portal or Platform Console. Data already delivered to a recipient prior to termination continues to be retained and accessible according to the Agency's configured retention period as set at the time of delivery, consistent with PatrolDocs' obligation to honor delivery commitments already made to recipients. PatrolDocs does not shorten or extend a recipient's access window as a result of the originating Agency's contract status.

10. Changes to these Terms

We may update these Terms from time to time. Material changes will be communicated to the Agency's designated administrative contact. Continued use of the Service after an update constitutes acceptance.

11. Governing law and dispute resolution

These Terms are governed by the laws of the State of Nevada, without regard to its conflict-of-laws principles, unless otherwise specified in a signed agency agreement with a California or other public agency, in which case the governing law and venue provisions of that signed agreement will control for that agency's use of the Service. Any dispute not otherwise subject to a signed agency agreement will be brought exclusively in the state or federal courts located in Nevada.
